Information we collect
We collect personal information where it is necessary to operate our online shop, deal with enquiries, fulfil orders and run our business.
Information you give us
This may include your name, billing and delivery addresses, email address, telephone number, account details, order history and correspondence with us.
You may also give us information about a vehicle, such as its model, year, registration, chassis number, engine number or other details, where this helps us identify or supply the correct part.
If you contact us with a question, return, complaint or other enquiry, we may retain the information you provide and our correspondence with you.
Telephone calls and call recordings
Telephone calls to and from Omicron may be recorded.
We use call recordings for legitimate business purposes, including staff training and quality monitoring, maintaining and improving customer service, confirming instructions or information given during a conversation, dealing with enquiries and complaints, resolving disputes, preventing or investigating fraud or misuse, and establishing, exercising or defending legal rights.
Call recordings may contain personal information that you provide during the conversation, together with information such as the telephone number used, the date, time and duration of the call and the members of staff involved.
Access to recordings is limited to those who reasonably need it for the purposes described above. We do not use call recordings for unrelated purposes or disclose them to third parties except where reasonably necessary to operate the telephone or recording service, obtain professional advice, establish or defend legal rights, or comply with a legal obligation.
We normally rely on our legitimate interests in operating and protecting our business, training staff, maintaining service standards, keeping an accurate record of important customer communications and resolving queries or disputes. Where a recording is directly relevant to carrying out a contract with you, that may also provide a lawful basis for the relevant processing.
Call recordings are retained only for as long as reasonably necessary for these purposes. A recording may be kept for longer where it is relevant to an order, ongoing enquiry, complaint, dispute, warranty matter, legal claim or other legitimate business requirement.
Your data-protection rights described elsewhere in this policy also apply to personal information contained in call recordings.
Order and payment information
When you place an order, we collect information about the products ordered, prices, payments, delivery arrangements, refunds and other transaction details.
Payments may be processed by Shopify, PayPal or another payment provider offered at checkout. Payment providers process the information required to complete the payment. We normally receive the information needed to identify and administer the transaction rather than your complete payment-card details.
Website and device information
When you use our website, Shopify and other services used by the site may collect technical information such as your IP address, browser and device information, pages viewed, referring pages, searches, interactions with the site and cookie or similar technology information.
Some of this information is necessary for the website to operate. Other information, such as analytics or marketing data, is collected only where permitted by applicable law and your cookie preferences.

Our lawful bases for processing
Different lawful bases apply depending on what we are doing with your information.
We process information where it is necessary to perform a contract with you or to take steps at your request before entering into a contract, for example when processing and delivering an order.
We process information where necessary to comply with legal obligations, including accounting, tax, VAT, customs and regulatory requirements.
We may process information where it is necessary for our legitimate interests, or those of another organisation, provided those interests are not overridden by your rights and interests. These interests include operating and protecting our business, preventing fraud, providing customer service, maintaining appropriate business records and improving our products and services.
Where consent is required, for example for certain cookies, analytics, advertising or marketing activities, we rely on your consent. You can withdraw consent at any time without affecting processing that took place before it was withdrawn.
We may process information where it is necessary for our legitimate interests, or those of another organisation, provided those interests are not overridden by your rights and interests. These interests include operating and protecting our business, preventing fraud, training staff, monitoring and improving customer service, maintaining accurate records of customer instructions and communications, resolving complaints or disputes, providing customer support and improving our products and services.
Marketing
We may send information about Omicron products and services where you have asked us to do so or where applicable electronic-marketing rules allow us to contact an existing customer about similar products or services.
We will provide a way to opt out of marketing communications and will respect requests not to receive further marketing.
Operational messages concerning an order, payment, delivery, account, return or other transaction are not marketing communications.
Sharing personal information
We do not sell customer personal information.
We share information where reasonably necessary to provide our services or operate our business.
This may include Shopify, which provides our ecommerce platform; payment providers; Royal Mail, postal services, couriers, freight companies and customs agents; IT, email, hosting and cloud-service providers; analytics providers where enabled and permitted by your preferences; accountants, insurers, professional advisers and other business service providers; and government, customs, tax, regulatory or law-enforcement authorities where disclosure is required or permitted by law.
When sending an international order, information such as your name, address, contact details, the description and value of the goods and other information required for customs clearance may be provided to postal operators, couriers and customs authorities.
We may also disclose information where reasonably necessary to establish, exercise or defend legal rights, investigate fraud or protect our business, customers or other people.
Shopify
Our online store is hosted by Shopify.
Shopify processes customer information on our behalf in order to provide the ecommerce services we use. Shopify may also process certain information for purposes described in its own privacy documentation and the services enabled on our store.
Shopify operates internationally, so personal information processed through the Shopify platform may be processed in countries outside the United Kingdom.
International transfers
Some organisations which process information for us operate in, or use systems located in, countries outside the United Kingdom.
Where personal information is transferred internationally and data-protection law requires additional protection, we take steps to ensure an appropriate transfer mechanism is used. This may include a UK adequacy regulation, an approved contractual safeguard or another mechanism permitted by applicable data-protection law.
How long we keep information
We keep personal information only for as long as reasonably necessary for the purposes for which it was collected and to meet our legal, accounting, tax and regulatory obligations.
Order, invoice, payment and accounting information will normally be retained for at least the period required by applicable tax and accounting law. We may keep relevant information for longer where necessary in connection with an ongoing warranty, dispute, claim or other legal requirement.
Information relating to an enquiry which does not result in an order will be kept only for as long as reasonably useful or necessary.
Where you opt out of marketing, we may retain sufficient information on a suppression list to ensure that we continue to respect your request.
Deleting a customer account does not necessarily mean that all information relating to previous transactions can be deleted where we have a legal or legitimate reason to retain it.
Cookies and similar technologies
Our website uses cookies and similar technologies.
Some are necessary for the website to function, for example to operate the shopping basket, checkout, security functions and customer accounts.
Other technologies may be used for analytics, measuring the performance of the site, remembering preferences or marketing. Where consent is required, these technologies will not be used until the appropriate consent has been given.
You can use the cookie preferences available on our website to review or change your choices.
Blocking necessary cookies through your browser may prevent parts of the website, including the basket or checkout, from working correctly.
Analytics
We may use Shopify analytics and other analytics services, such as Google Analytics, to understand how visitors use our website and to help improve it.
Where these services require consent to store or access information on your device, they will be subject to your cookie preferences.
Automated processing and fraud prevention
Shopify, payment providers and other services we use may use automated systems to detect suspected fraud, abuse or security risks.
Omicron does not make decisions about customers based solely on automated processing where those decisions would have a legal or similarly significant effect, unless permitted by applicable law and appropriate safeguards are in place.
Your rights
Depending on the circumstances and the law that applies, you may have rights in relation to your personal information including rights to:
access information we hold about you;
ask us to correct inaccurate or incomplete information;
ask us to erase information in certain circumstances;
ask us to restrict how information is used;
object to certain uses of your information, including direct marketing;
receive certain information in a portable form;
and withdraw consent where processing is based on consent.
These rights are subject to legal conditions and exceptions. For example, we cannot normally erase transaction information which we are legally required to retain.
To exercise your rights, please contact us at sales@omicron.uk.com.
We may need to ask for information to confirm your identity before dealing with a request.
Data protection complaints
If you have a concern about how we have collected, used or protected your personal information, please contact us at sales@omicron.uk.com.
We will acknowledge data-protection complaints within 30 days and will investigate and respond to them in accordance with applicable data-protection law.
You also have the right to make a complaint to the Information Commissioner's Office (ICO), the UK data-protection regulator.
Where the data-protection law of another country applies to our processing, you may also have a right to complain to the relevant supervisory authority in that country.
Security
We take reasonable technical and organisational measures to protect personal information from loss, misuse, unauthorised access, disclosure or alteration.
No internet or electronic-storage system can be guaranteed to be completely secure, but we review the services and procedures used to protect the information entrusted to us.
Third-party websites
Our website may contain links to websites operated by other organisations. Their collection and use of information is governed by their own privacy policies, and we are not responsible for their privacy practices.
Changes to this policy
We may update this Privacy Policy from time to time to reflect changes to our services, technology, business practices or legal obligations.
